About the Role:

We're seeking a highly organized Operations & Project Support Manager to join our dynamic and fast-growing team. This role supports our senior curators and Director of Operations in bringing complex art projects to life-from the final stages of planning through to seamless installation. You'll play a critical role in coordinating logistics, managing vendor communication, overseeing timelines, and maintaining operational infrastructure that enables successful project delivery. This position is ideal for someone with excellent attention to detail, a proactive mindset, and a passion for operational excellence within the creative industry.

This is a remote-first role, but applicants must be based in the NYC tri-state area (NY, NJ, CT) for periodic on-site support and vendor coordination.

Key Responsibilities:

  • Support senior curators through final project execution including logistics, scheduling, budgeting, and installation planning.

  • Coordinate vendor communications, obtain quotes, manage timelines, and maintain vendor relationships.

  • Assist in art procurement, production management, and fabrication coordination.

  • Help gather essential information to draft artist/vendor contracts; track approvals and documentation.

  • Maintain and organize databases for art handlers, vendors, and service providers.

  • Oversee calendar and milestone management across multiple active projects.

  • Assist with onboarding new members, vendors, and clients, ensuring a smooth integration process.

  • Conduct due diligence when sourcing new suppliers or partners.

  • Support insurance, compliance, and certificate of insurance (COI) processes.

  • Provide backup support for client communication and on-site coordination as needed.

  • Contribute to operational documentation and continuous process improvement.

  • Knowledge of basic website CMS tools, or design platforms like Figma, is a plus.


What We're Looking For:

Required Experience:

  • 2-4+ years in an operational support, project coordination, or production assistant role (creative agency, art world, design/architecture studio preferred).

  • Exceptional organizational skills, with the ability to track many moving parts across projects.

  • Outstanding attention to detail; accuracy and completeness are second nature to you.

  • Comfortable managing tight deadlines and changing priorities with a calm, proactive approach.

  • High emotional intelligence-you know how to "read the room" and communicate effectively.

  • Tech-savvy and comfortable with project management and communication tools (e.g. Google Workspace, Basecamp, etc.).

  • A strong team player with a no-task-too-small mentality.

  • Willingness to roll up your sleeves, solve problems, and support wherever needed.

  • Flexible and open to occasional off-hours or on-site work-this role isn't always 9-5.

  • Passion for the arts and a desire to grow within a creative, mission-driven organization.


Preferred Experience:

  • Experience with art installation logistics or vendor coordination.

  • Knowledge of art production, fabrication, or gallery operations.

  • Familiarity with contracts, insurance, or compliance requirements in a creative setting.

  • Experience supporting client-facing teams or curators.

  • Knowledge of basic design tools (e.g. Figma, Canva) or CMS platforms.


Qualifications:

  • Bachelor's degree required.

  • 2-4+ years of relevant experience preferred.

  • Comfort with Google Workspace or Microsoft Office tools (Docs, Slides, Sheets).
